How we collect your data and the data we hold

Patient data

The data we collect from our patients may include the following:

  • Patient name
  • Patient date of birth
  • Patient address and postcode
  • Patient email address
  • Patient telephone number(s)
  • Details of patients next of kin
  • Parent name if patient is under 18

We also hold patient medical information. This information may include the details shown above as well as notes of appointments, treatment information, audiology and hearing assessment test results, as well as other physical health data if relevant to your condition or treatment.  We may also collect financial information e.g. bank details, credit or debit card payment details etc. for the payment of good and services.

Staff Data

We may hold information about our staff or anyone applying to work for Kent Hearing as follows:

  • Address and postcode
  • Email address if provided
  • Phone number(s)
  • Next of kin
  • Work record in the form of a CV

Supplier Data

We may hold the following information on suppliers:

  • Supplier names
  • Supplier address and postcode
  • Supplier email addresses
  • Supplier phone number(s)
  • Details of supplier products and services
  • Bank account details which will be used only to make payment to suppliers for the goods and services they have provided

Kent Hearing does not obtain personal data indirectly from any third parties.

How we use and share your data

We do not share your personal information with any other individuals or organisations, unless there is a medical requirement to consult with another medical professional.   We will always inform you of the need to do this and your data will be shared and handled securely at all times.

We may use your email, postal address or telephone number to communicate with you specifically in relation to matters relating to you as a patient.  We may also send you correspondence by email, text or by post containing marketing information about relevant services offered by Kent Hearing.

We will not share your data with any other organisation or individual for third parties for marketing purposes.  If required to by law, we may disclose your data to law enforcement authorities or to enforce our legal rights.

How long do we keep your data for?

We will keep your personal data throughout the time that you are a patient with us and for a further period, dependent on the type of treatment or services you receive from us and in accordance with all applicable UK laws (for example, HMRC dictate that financial details relating to payment for treatments or services must be kept for 6 years).

Under Medical Device Regulations we are required to be able to trace individual patients if necessary. To comply with this we will retain personal data for twenty years after the last contact date with you if relevant, or until a request is made to delete it, whichever is the sooner.  Personal data is deleted or securely destroyed at the end of its retention period.

Cookies and how we use them

Cookies are small files, stored on a user’s computer. They are designed to hold a small amount of data specific to a particular client and website.  Our website www.kenthearing.com uses cookies. Cookies are used for Google Analytics so that we can see and understand traffic to our website and how our website is being used. They are also used for Facebook Pixel to track enquiries and conversions from Facebook adverts.  These cookies are used only for analytics and do not hold personal information about you or visitors to our website.

Our website uses session cookies which are stored in the computers memory during a user’s browsing session and are automatically deleted from the users computer when the browser is closed or the session is ended.

Our website

Our website (www.kenthearing.com) does not collect or process personal data in any automated way. When you complete a contact form, your details are emailed to us by the website, they are not stored by or on the website. Your details are then securely stored on our internal email and customer database system.

Kent Hearing will always only use your data to help provide you with relevant information, services or treatments.   You have the right to access your information and to formally request that your data is is removed from our systems at any time. You also have the right to:
